Privacy made simple
SortMyChats helps you organize ServiceTitan messages. The plain-English version: your customers' message text never leaves your browser. Here's what we actually collect, and what we don't.
1. What we collect
Account information
- Your name, email address, and password (stored as a one-way hash — we can't read it).
- Your workspace name and which role you have (owner / admin / member).
- Your billing email and Stripe customer ID (so we can match payments to your workspace). We never see or store your card number — Stripe handles that.
What you do inside the product
- The folders you create, their colors and names, and which conversations you put in which folder.
- Your settings (e.g. notifications on/off, auto-cold-archive on/off).
- An internal reference (an opaque ID) for each ServiceTitan conversation you sort.
What we explicitly do NOT collect
- The text of your customers' messages. SortMyChats reads message text inside your browser to detect new replies and to filter mass-text noise, but that text is never sent to our servers and never stored. Only the opaque conversation ID and the folder you chose for it leave your browser.
- Customer phone numbers or names — none of that is transmitted to or stored by SortMyChats.
- Your ServiceTitan password or session token — SortMyChats does not authenticate to ServiceTitan and has no access to its API.
2. How we use what we collect
- To run the product — sync your folders across devices, deliver reply notifications, and let teammates share workspace folders.
- To bill you accurately (per-seat pricing through Stripe) and email you about your subscription (welcome, trial-ending, payment failures).
- To answer your support questions when you write in.
We do not sell your data. We do not use your data to train AI models. We do not share your data with advertisers.
3. Who we share with
The only third parties that see your data are the vendors we need to run the service:
- Supabase — hosts our database (your folders, workspaces, users).
- Railway — hosts our backend server.
- Stripe — processes payments. They get your billing email and card; we never do.
- Resend — delivers our transactional emails (welcome, trial-ending, etc.).
Each of these vendors is bound by their own contracts to protect your data.
4. Where data lives
Our backend and database are hosted in the United States. If you're outside the US, your data will be processed in the US.
5. How long we keep it
- Active workspaces: we keep your data as long as your subscription is active.
- Cancelled workspaces: we keep workspace data for 30 days in case you reactivate, then delete it.
- Backups: automated backups may persist for up to 90 days, then roll off.
- Email logs: Resend retains email send/deliver metadata for ~30 days for deliverability monitoring.
6. Your rights
You can:
- Export or delete your folders any time from the extension.
- Cancel your subscription from the Manage Billing button — you can also delete your workspace by emailing us.
- Ask us what we have on you, request a copy, or ask us to delete it — write to hello@sortmychats.com from the email on file and we'll respond within 30 days.
7. Security
Passwords are stored as bcrypt hashes. All traffic between your browser and our server is encrypted with TLS. Authentication uses short-lived bearer tokens, never cookies that ride along with other websites.
If we ever suffer a security incident that affects your data, we'll notify you by email within 72 hours of discovering it.
8. Children
SortMyChats is a B2B product for home-services companies. It is not directed at anyone under 18 and we don't knowingly collect data from minors.
9. Changes to this policy
If we materially change this policy, we'll email all active workspace owners at least 14 days before the change takes effect.
